Information we collect
We collect account information such as name, email address, authentication identifiers, team membership, role, and location assignments.
We collect operational data you enter or upload, including inventory items, categories, vendors, counts, purchase orders, receiving records, invoices, receipt images, task records, alerts, approvals, and AI assistant messages.
When you use scanning features, Kohtac may process camera input, selected photos, document images, barcode data, and extracted invoice text for the purpose of completing inventory and receiving workflows.
How we use information
We use information to provide Kohtac, authenticate users, sync team data, maintain inventory records, process invoice scans, generate operational insights, send notifications, manage subscriptions, and provide support.
We may use aggregated or de-identified operational information to improve reliability, workflow quality, and product performance.
Service providers
Kohtac relies on trusted service providers for hosting, authentication, database storage, file storage, subscription status, email delivery, diagnostics, and invoice-processing infrastructure.
These providers are authorized to process information only as needed to operate and support Kohtac.
Retention and deletion
We retain account and workspace information while your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and maintain business records.
You can request deletion through the in-app account deletion flow. Some records may be retained if required for security, fraud prevention, tax, accounting, or legal compliance.
